How to organize a green event in Paris?

Whether the event be small or big, success in meeting the challenges of sustainable development always depends on the motivation of the actors and their organization. Here is a formula that has a proven track record.

1) Mobilize:

  • Identify the stakeholders and their expectations (participants, clients, locations and premises, municipality, partners, financial backers, speakers, suppliers, subcontractors, etc.)
    Who is involved, locally or further afield, in the event that I am planning?
  • Select partners, giving priority to those who are competent and active in sustainable development (see dedicated articles in this same file).
    With whom can I make concrete progress on the environmental responsibility of my event?
  • Promote dialogue on the subject of environmental responsibility. Raising awareness for some, sharing solutions for others, circulating information contributes to getting everyone to take up a common challenge: the success of the event.
    What do people propose to improve the social and environmental footprint of my event?

2) Plan ahead:

  • Gather opinions and draw up an inventory to list the environmental, local, social, heritage, economic and other issues related to the event. Rank these subjects in terms of priority to focus only on the most relevant ones.
    What are the risks and opportunities regarding the sustainability of my event?
  • Set clear, verifiable and achievable objectives. Ambitious but at the same time realistic. Maybe aim for a label or certification. Identify indicators, and measure them before and after the event.
    What aspects of my event are linked to environmental responsibility?
  • Establish a concrete action plan. Describe the arrangements to be made, the equipment to be installed, the communication to be disseminated, the actions to be adopted and all the good practices to achieve the objectives set. Think also about distributing these tasks among stakeholders.

3) Act:

At every stage in the planning of an event, good environmental, social and economic practices must always be present.

  • Before the event: reduce its impact by taking action regarding the venues (buildings and exteriors, fittings and design, equipment and furniture), on the content of the event (positioning, messages, objectives), on mobility (optimization of travel, means of transport, fluidity), and on communication (media, frequency, scale).
    What do I need to do to design – and therefore anticipate – an eco-friendly event?
  • During the event: manage the flow of people, materials, water, energy; avoid waste and then sort rubbish, offer ethical catering (local, seasonal, organic, without packaging), raise awareness among participants (visitors, exhibitors, suppliers and service providers), promote the region and highlight its wealth.
    What actions can involve the participants of my event on the day?
  • At the end of the event: dismantle things in such a way that they can be reused, encourage donations and recovery, recycle waste and equipment, clean without polluting, repair any damage, compensate or reinvest according to any unavoidable impacts.
    What actions limit the traces of my event after it has finished?

4) Evaluate:

  • Measure results (before/after the event) in accordance with the objectives and indicators of the event. For example: participant attendance and satisfaction, number of direct and indirect jobs and volunteers, consumption of resources, types and quantity of waste, greenhouse gas emissions, contributions to the local economy, accidentology, etc.
    Did my event and the organization of it meet their environmental responsibility commitments?
  • Review the event as a whole to learn lessons and improve. Study the impacts on stakeholders, on the area and on the environment. Share these analyses in order to be accountable, to improve future approaches and actions, and to encourage other actors.
    What are the positive or negative effects of my event? What improvements can be made?
  • Update monitoring of eco-friendly solutions, partners and relevant eco-friendly services. Take part in networks. Capitalize on past experience.
