Why choose K.I.T. Group to organize a conference? What are its strengths and what part will it be playing in the next IAC Congress, in September 2022? Delphine Baudouin, Director of K.I.T. Group France, replies to our questions.
Could you begin by briefly introducing the Group? Why has it set up a subsidiary in France?
K.I.T. Group was founded in 1986 and specializes in the organization of conferences and association management. We help associations and learned societies to plan a congress from A to Z: from drawing up specifications, to rolling out the programme, commercial management of exhibitors, partners, registration of participants, management of services and planning of spaces, and budget management right up to the financial balance sheet. Should they wish, we also advise learned societies on their structure, development, legal and economic model and provide member management services, treasury services and secretarial services.
We have always worked in France organizing national, European and international conferences in Paris as well as in other French cities such as Nice, Lyon, Nantes, Bordeaux, Montpellier and Marseille. A desire to be closer to our French clients and to highlight our expertise to our regular or future clients in France has led to us opening an office in Paris in 2015 to ensure a continuous presence and welcome.
What are the strengths and added value of K.I.T. Group when organizing a conference?
Organizing a conference requires expertise that is both diverse and rigorous. We are required to manage large budgets, numerous invoices, to comply with rules and regulations that change over time, in particular with regard to compliance and GDPR, to respond to participants from all over the world, to convince and manage industrial partners, to demonstrate both technological innovation and creativity for evening events or media communication, to be capable of responding to a precise need, to plan and keep to on schedule, to manage a variety of services and providers, to anticipate potential human or technical problems, to provide advice over a long period and to respond to last-minute requests.
This eclectic list gives you just a little indication of the diversity of our activity. Our added value certainly lies in the expertise and professionalism that we seek to bring to our clients in the organization of their congress, in the technicality of our software for registration, hosting and partnerships, but also in the passion, rigour and creativity that drive our dialogue and collaborations with our clients and our service providers.
What part is K.I.T. Group playing in the organization of the IAC?
For the 72nd International Astronautical Congress (IAC 2022) which will take place in Paris in 2022, the CNES and the IAF have entrusted us with the overall organization of the congress with them, except for the scientific programme and speaker invitations, which will be managed by the IAF, and the rental, organized directly between the CNES and Viparis. To date, some 8,000 delegates are expected with a large trade exhibition, a day open to the general public and a very dense social programme.
What are the next big congresses that you will be working on in Paris?
For several years now, we have been working with the Société Française de Radiologie (French Society of Radiology), which each year welcomes more than 12,500 participants to the JFR (Journées Francophones de Radiologie) in the Palais des Congrès at Porte Maillot. At the Paris Convention Centre, Porte de Versailles, we are helping our headquarter with the ESMO (European Society for Medical Oncology) Congress which will host more than 30,000 professionals in 2021 and we are the national PCO selected for the World Federation of Occupational Therapists (WFOT) Congress which will take place in March 2022 at the Paris Convention Centre. Other projects are in the pipeline. We also help smaller projects: these are just as important and require the same attention.
